What are the five benefits associated with digital registered mail?
You’re already making your life a lot easier if you use EasyPost to process your physical registered mail. But you can now take advantage of an even more efficient and cost-effective process with enhanced legal validity if you opt for digital registered mail. Here are five reasons for choosing to go digital!

What is digital registered mail?
1. Save time with digital registered mail
Sending your registered mail electronically eliminates manual processing. You needn’t even store a physical record of the receipt as this remains available in our online customer portal for 10 years. You consequently save considerably on the time involved in mail processing and administration (and therefore on your costs).
2. Send your digital registered mail at your convenience
Still taking your registered mail to the post office in person, in order to receive the legally-valid receipt? This isn’t always easy to schedule, particularly if your post office has restricted opening hours. And even if you arrange for someone to collect your mail, you still have to consider the driver's timetable. In contrast, you can submit digital mail at any time of the day, including outside office hours.
3. Gain insight into the journey of your mail
Physical registered mail can admittedly be tracked via track & trace. But then again, postal services are sometimes subjected to unexpected delays, of which you’re often unaware. And you can never be completely sure that your message has reached the right recipient. Digital registered mail, on the other hand, doesn’t undergo a physical journey. Your recipient receives your message immediately. And they must always identify themselves beforehand via itsme® or eID. That way, you know exactly who received your registered mail.
4. Enjoy the same legal value
The receipt from a physical registered mail proves that you sent an addressed envelope. No more, no less. A digital mail, on the other hand, also enables you to corroborate the precise contents of your letter. This is done using the notification and validation reports, which allow you to track every stage of the process, from the submission of the mail to its acceptance.
5. All this at almost a third of the price!
The price of physical registered mail has increased regularly in recent years. Additional services, such as extra insurance or proof of delivery, have also become increasingly expensive. This means that a physical registered mail now costs at least €8.33, as opposed to just €2.18 for a digital one. Yes, the latter is considerably cheaper.

What if your digital mail fails to arrive?
We first send your digital registered mail (QeRDS) electronically. The recipient receives a notification via email requesting them to accept and retrieve the registered mail in electronic form. To do so, they must first identify themselves using itsme® or eID.
Not received a response to your mail within a predetermined number of days? Then we’ll automatically send a physical registered letter. If desired, we can even do this within one working day of the digital mail (hybrid registered mail). That way, your recipient receives your registered mail as securely and efficiently as possible.
